  • Health Information: Any health-related information submitted via our website may be considered Protected Health Information (PHI) under HIPAA.

Data Retention

  • Website Data: We retain information submitted via website forms for up to 2 years unless you request deletion sooner.

  • Counseling Records / PHI: In compliance with applicable state laws:

    • Texas: Records are retained for a minimum of 7 years after the last session, or 5 years after a client reaches the age of majority, whichever is longer.

    • Oklahoma: Records are retained for at least 5 years after services end.

    • New York: Records are retained for 10 years after the date of discharge or last contact, or 3 years after the client reaches the age of majority, whichever is longer. For minors, records must be retained until one year after the minor reaches the age of 21 years.

After the retention period, records are securely destroyed in accordance with law and our internal policies.

HIPAA Notice

If you are or become a client, your health information is protected under the Health Insurance Portability and Accountability Act (HIPAA). You will receive a full Notice of Privacy Practices at intake explaining how we handle and safeguard your Protected Health Information.

Third-Party Services

We may use third-party services, such as scheduling software, email platforms, or analytics tools. These services are either HIPAA-compliant for PHI or only collect non-identifiable information.

Emergency Disclaimer

This website is not monitored 24/7 and is not for emergencies. If you are in crisis, call 911 or go to your nearest emergency room.

Your Rights

You may request:

  • Access to information submitted via the website.

  • Correction of inaccurate information.

  • Deletion of information we are not legally required to retain.​

Clients will receive additional rights through the HIPAA Notice at intake.
